What is your nonprofit’s most valuable asset? Is it your building? Your computers? We’d argue it’s something you might be storing in a simple spreadsheet: your list of donors, volunteers, and supporters.

When you hear the word “database,” you might picture complex code and servers. But in reality, a database is just an organized collection of information. And your supporter list is one of the most important databases in the world.

Why a Spreadsheet Isn’t Enough

Managing this critical asset in a spreadsheet is like keeping your cash in a shoebox. It might work for a while, but it’s risky and inefficient.

  • It’s Insecure: A spreadsheet file can be easily emailed, copied to a USB drive, or accidentally deleted. It offers very little protection for your community’s sensitive contact and donation information.
  • It’s Prone to Errors: With multiple people entering data, typos, duplicates, and outdated information can quickly turn your list into an unusable mess.
  • It Hides the Story: A spreadsheet shows you a name and a number. It doesn’t easily show you a donor’s entire history, their relationship with your organization, or the last time you spoke with them. The story gets lost.
